SPARKACTIV TERMS & CONDITIONS

These Terms & Conditions apply to all SparkActiv holiday camps, activities and programmes.

By making a booking, parents and guardians agree to the terms outlined below.

1. BOOKINGS

All bookings are subject to availability.

A booking is only confirmed once payment has been received and confirmation has been issued by SparkActiv.

SparkActiv reserves the right to refuse or cancel bookings where necessary.

2. PAYMENT

Full payment must be made at the time of booking unless otherwise agreed.

Bookings may not be secured until payment has been received.

SparkActiv reserves the right to amend pricing at any time. Changes will not affect bookings that have already been confirmed.

3. CANCELLATIONS BY PARENTS

More than 14 days before the camp start date:

• Full refund available less any booking or processing fees.

7–13 days before the camp start date:

• A credit voucher for the full booking value may be issued for use on a future SparkActiv programme.

Less than 7 days before the camp start date:

• No refund or credit will normally be provided.

Requests may be considered at SparkActiv's discretion in exceptional circumstances.

SparkActiv strongly recommends that parents ensure they are able to attend booked dates before making a booking.

4. CANCELLATIONS BY SPARKACTIV

SparkActiv reserves the right to cancel or amend programmes due to circumstances beyond our reasonable control, including:

• Severe weather

• Venue issues

• Staff shortages

• Safety concerns

• Events outside our control

Where SparkActiv cancels a session, an alternative date, credit or refund will be offered where appropriate.

5. ATTENDANCE

Parents are responsible for ensuring children arrive and are collected at the correct times.

SparkActiv cannot accept responsibility for children outside of booked camp hours.

Children should arrive ready to participate in physical activities.

6. LATE COLLECTION

Parents or guardians must collect children promptly.

Where late collection occurs, SparkActiv reserves the right to charge additional fees to cover staffing costs.

Persistent late collection may result in additional charges and may affect eligibility for future bookings.

7. MEDICAL INFORMATION

Parents must provide accurate medical, allergy and emergency contact information before attendance.

Failure to provide relevant information may affect a child's ability to participate safely.

Parents must inform SparkActiv of any changes to medical information as soon as possible.

Where medication is required during camp hours, parents must provide clear written instructions and any necessary consent forms.

Where a child has a severe allergy, medical condition or additional support requirement, parents must notify SparkActiv before attendance so that an appropriate assessment can be made.

SparkActiv will take reasonable steps to support children with allergies and medical conditions. However, we cannot guarantee an allergen-free environment and parents acknowledge that participation takes place in shared facilities where accidental exposure may occur despite reasonable precautions being taken.

8. ILLNESS

Children should not attend camp if they are:

• Experiencing sickness or diarrhoea

• Suffering from a contagious illness

• Considered unwell enough to participate safely

If a child becomes unwell during camp, parents or emergency contacts may be asked to collect them.

9. SAFEGUARDING

The welfare of children is our highest priority.

All safeguarding concerns will be managed in accordance with the SparkActiv Safeguarding & Child Protection Policy.

10. BEHAVIOUR

Children are expected to:

• Treat others with kindness and respect.

• Follow reasonable instructions from staff.

• Behave safely.

• Respect equipment, facilities and fellow participants.

SparkActiv operates a zero-tolerance approach to:

• Bullying.

• Discrimination.

• Violence or aggressive behaviour.

• Behaviour that places the safety or wellbeing of others at risk.

We understand that children can occasionally become excited, frustrated or distracted. Our team will always seek to support children positively and help them re-engage with activities where appropriate.

However, where a child's behaviour is persistently disruptive, repeatedly prevents activities from being delivered effectively, requires disproportionate staff attention, or significantly impacts the experience of other participants, SparkActiv reserves the right to contact parents and, where necessary, request that the child is collected from the camp.

In such circumstances, refunds or credits will not normally be provided.

SparkActiv also reserves the right to refuse future bookings where previous behaviour by a child, parent or guardian has made it unreasonable, unsafe or impractical to accommodate future attendance.

Any such decision will be made at the sole discretion of SparkActiv and with the safety, wellbeing and experience of all participants in mind.

11. PHOTOGRAPHY & VIDEO

SparkActiv may occasionally take photographs and videos for marketing, promotional and educational purposes.

Images will only be used where appropriate consent has been provided.

Parents may withdraw consent at any time by contacting SparkActiv.

12. PERSONAL BELONGINGS

Children should not bring valuables to camp.

SparkActiv accepts no responsibility for lost, damaged or stolen personal belongings.

13. HEALTH & SAFETY

Children are expected to wear suitable clothing and footwear for physical activity.

Parents should ensure children bring:

• A packed lunch

• A refillable water bottle

• Suitable sports clothing

• Appropriate footwear

• Weather-appropriate clothing, including waterproofs where necessary

SparkActiv may implement food restrictions, including nut-free guidance, where considered appropriate. However, SparkActiv cannot guarantee that prohibited food items will not be brought onto site by participants or visitors.

14. LIABILITY

SparkActiv takes reasonable steps to provide a safe environment and appropriate supervision.

Participation in physical activities carries an inherent level of risk.

SparkActiv shall not be liable for loss, damage or injury except where caused by negligence or where liability cannot legally be excluded.

15. DATA PROTECTION

Personal information will be handled in accordance with the SparkActiv Privacy Policy.

16. CHANGES TO PROGRAMMES

SparkActiv reserves the right to amend activities, staffing, schedules or programmes where necessary to ensure safe and effective delivery.
